Venue hire

The final confirmation before your venue event

Team Selgars · · 1 min read

Replace assumptions with one current plan

Before the event, send the final attendance, overnight allocation, room layouts, catering arrangements and arrival schedule. Highlight changes since the quote. Ask the venue to confirm any outstanding items explicitly. Keep supplier requirements and special arrangements in the same planning record so important details do not remain buried in separate messages.

Give everyone a contact and a cutoff

Agree the point after which changes may affect cost or practicality. Share the on-the-day contact and a backup, then give participants only the details relevant to them. Keep a copy available offline. The last check is not another opportunity to redesign the gathering; it is a way to make sure the host, organiser and suppliers are preparing for the same event.

Plan your next step

For the wider context, read our planning guide. If you are working through the next practical detail, what to include in a venue hire enquiry follows naturally from this.

You can also explore discuss your venue enquiry. Bring the details of your group or stay to the conversation so we can discuss what fits, rather than assuming every arrangement is included.
