Matching bedrooms to your event’s working spaces

Count the arrangements people will actually use

Sleeping capacity and useful meeting capacity are different questions. A group may fit overnight only if rooms are shared, while its workshop needs separate tables or smaller breakout areas. Write down the proposed sleeping arrangement and each session layout. Ask the venue to confirm those specific uses instead of relying on a single maximum number.

Check the busiest moment

Imagine the point when everyone needs a seat, a meal or a quiet conversation at once. Identify any conflicting uses of the same room. Allow for facilitators, suppliers and organisers in your counts where relevant. If a gathering includes day visitors, distinguish them from overnight guests. A clear schedule of space use helps a venue tell you what is practical and where a smaller group or different format would work better.

Plan your next step

For the wider context, read our planning guide. If you are working through the next practical detail, allowing enough time for event setup and packdown follows naturally from this.

You can also explore discuss your venue enquiry. Bring the details of your group or stay to the conversation so we can discuss what fits, rather than assuming every arrangement is included.
