Team offsites

Who does what at a residential team offsite?

Separate hosting from facilitation

An organiser may be booking rooms, answering arrival questions and trying to lead a difficult discussion at the same time. Allocate three responsibilities explicitly: logistics, session facilitation and decision ownership. They can sit with fewer than three people, but the work still needs doing. A venue host should not be assumed to provide facilitation unless that is part of the agreed arrangement.

Write a practical handover

Give the logistics lead arrival times, room allocations, supplier contacts and the schedule. Give the facilitator the questions, desired outcomes and any constraints on participation. Tell attendees whom to contact about each kind of issue. Keep a backup contact for the organiser’s own session time. Clear roles make it easier to deal with a delayed delivery without stopping a whole team’s conversation.

Plan your next step

For the wider context, read our planning guide. If you are working through the next practical detail, writing a decision brief for a team offsite follows naturally from this.

You can also explore team retreat options. Bring the details of your group or stay to the conversation so we can discuss what fits, rather than assuming every arrangement is included.
