When someone joins a residential offsite remotely

Decide which sessions can include them properly

A person on a laptop at the end of a dining table is easy to forget. Identify the sessions where remote participation is essential and design those explicitly: a shared document, a clear speaking order and someone watching the remote channel. For confidential discussions, check who can hear the call at both ends. Do not assume every informal conversation can be made hybrid.

Test the actual arrangement

Confirm connectivity, camera position, sound and power in the intended room. Run a short rehearsal rather than relying on a specification sheet. Give remote colleagues breaks and a reliable start time; they cannot see why lunch ran late. Capture decisions from informal conversations and bring them back into the shared record. If meaningful participation cannot be supported, change the session rather than describing attendance as inclusion.

Plan your next step

For the wider context, read our planning guide. If you are working through the next practical detail, running a prioritisation workshop away from the office follows naturally from this.

You can also explore team retreat options. Bring the details of your group or stay to the conversation so we can discuss what fits, rather than assuming every arrangement is included.
